JoyCo Studio Policy

Welcome to our studio! 

We celebrate diversity and are committed to creating a safe, welcoming space for all students, regardless of race, religion, gender identity, gender expression, sexual orientation, age, ability, or background.
 

We have a zero-tolerance policy for discrimination, harassment, or bullying of any kind. We ask that all students and families uphold our shared values of kindness, respect, and inclusion.

Lesson Withdrawal & Cancellation

We understand that students may need to discontinue lessons for a variety of reasons. While we’re always sad to say goodbye, please note that we do not issue refunds for any lessons that are currently scheduled.
 

For Monthly Tuition Students
 

We kindly request a minimum of 30 calendar days’ written notice if you wish to withdraw from lessons. This gives us time to offer your spot to another student and helps ensure a smooth transition.
If less than 30 days’ notice is given, the upcoming month’s tuition will still be required in full.
Please note: Monthly tuition is non-refundable, even if notice is given mid-month.

 

For Individually Scheduled Lessons (Pay-As-You-Go)
 

We ask for at least 48 hours’ notice to cancel a booked lesson.
No refunds are offered for missed or cancelled lessons.

 

Regardless of lesson format, we’ll always do our best to offer a makeup time if space allows.
 

To officially terminate lessons, we require written confirmation from the student or parent. Written letter or email is perfectly fine. All emails can be sent to Admin@Joycomusic.ca.

No refunds or reschedules will be offered for students who are sent home for showing up in a state of illness. Please do not show up to the Studio if you are not feeling well. 

Payment

All lesson payments must be made prior to the lesson in accordance with the below policies


Monthly Tuition Students

Invoices are issued by the 28th of the month prior and must be paid before your first lesson of the new month. Unpaid invoices may result in lessons being postponed or cancelled.


Individually Booked Lessons (Pay-As-You-Go)
 

To secure your lesson time, payment is required in advance of the lesson. Lessons cannot proceed without payment. invoices must be settled ahead of time.

We currently accept payments online (we will send an email upon booking with a secure payment link) or via e-Transfer to:

Refunds

 

We do not offer refunds for lessons that are missed, canceled, or rescheduled by the student.

However, in the rare event that JoyCo must end the teaching relationship early due to scheduling conflicts, studio changes, or other unforeseen circumstances, a refund will be issued for any unused prepaid lessons.

We are committed to open communication and will always provide as much notice as possible in the event of any changes on our end.

If a lesson is canceled with appropriate notice due to illness, injury, or extreme weather, we will make every effort to reschedule or offer an alternative lesson format. For workshops, we will do our best to provide a seat in the next available session, provided at least 48 hours’ notice is given. 

Supplies and Materials

While we don’t charge a yearly materials fee, students will need to purchase books and supplies as needed throughout the year. We will always let you know what’s required ahead of time, so there are no surprises.
 

You're welcome to pick up materials yourself (we’ll provide all the details), or we can arrange to pick them up for you. If you’d like us to take care of purchasing materials, we will send an invoice for the materials that must be paid at least 48 hours before your lesson to ensure everything is ready on time. Please note that this pickup option is available for in-person students only.
 

We don’t keep a lending library on hand, so having your own copy of materials ensures you're always prepared.

Studio Etiquette & Expectations

Late arrivals

When a lesson is scheduled, that time is reserved just for you. If a student arrives late, the lesson will still end at the scheduled time to respect the time of others. Please make every effort to arrive on time so we can make the most of your learning.

Prohibited Items


Drugs, Cigarettes, Vaping, and/or Chewing Gum are prohibited in the studio space, including the
underground parking lot, the courtyard west of the sanctuary and the general access routes
leading to, and from, the studio space.

This policy is non-negotiable and failure to follow the prohibited items section will result in immediate termination of the lesson(s) without refund and may result in the termination of the student/teacher relationship. 
 

Electronics

 

While we do understand that we live in a digital world and we would never wish to prohibit the use of personal devices, the use of cell phones, tablets, or other personal devices are discouraged from being used during lesson times. It may be helpful to have your cell phone available for emergencies, digital aids, and app use like metronomes.

Online Lessons

While not all lessons can be scheduled in person, every lesson can be taken online. To ensure a smooth and productive experience, please have the following ready before your online lesson begins. Online lessons follow the same schedule expectations as in-person lessons. Please note that any time spent troubleshooting tech issues (such as fixing camera angles or internet disruptions) is still considered part of the scheduled lesson time.

  • A working keyboard or piano

  • A stable internet connection

  • A camera (cell phone or tablet cameras are perfectly fine!) positioned so your hands and keyboard are clearly visible.

Data & Privacy

We value your trust. Any personal information you share with JoyCo including names, contact details, or scheduling preferences, is collected solely for studio-related purposes such as lesson coordination, communication, and billing. Your data is stored securely and will never be shared, sold, or used for any purpose outside of JoyCo operations.

Student Observation

We find that students grow most confidently when given space to explore and learn independently. For this reason, we encourage parents and guardians to enjoy our cozy waiting area during lesson times, where books and quiet activities are available.
 

While we generally discourage sitting in on lessons (unless previously arranged), we maintain an open-door policy. Our lesson room remains visible at all times, with a mostly glass door to ensure comfort and transparency.
